Your booking form is a short run of steps, one per screen, built to be finished in about 90 seconds on a phone. You choose the steps and their order on the Widget page. A new account starts with six: date, event type, venue, guest numbers, menu and contact details. You can add an add-ons step and a viewing step, plus headings and text between steps.
Date
A calendar showing one month or several at a time. Dates you can't take are greyed out and can't be picked. That includes dates on any calendar you've connected and dates of bookings already confirmed in Innkept.
For a connected calendar to block dates, tick Block event dates with entries on this calendar on that calendar's settings. See Calendars & availability.
Event type
A set of cards: wedding, corporate, private dining and the others you offer. Each venue lists the event types it covers, and you can limit a menu to certain event types too.
Venue
One card per venue, with its town and capacity. If you only have one venue, this step is skipped. Venues that can't take the chosen date or guest numbers are hidden, unless you turn that off.
Guest numbers
A slider or number box, kept within the chosen venue's minimum and maximum capacity. Everything priced per guest uses this number.
Menu
The guest picks a menu and works through it: choose one of four mains, add a cheese course, and so on. Only menus set to show for that venue, event type and date appear. Dishes you've marked as pre-selected start ticked, and each one shows its price and any dietary or allergen labels.
Add-ons (optional step)
Your extras from Products: AV, decor, late licence, bar packages. Venue hire is never listed here; it's added to the quote for them.
Viewing (optional step)
The guest can book a visit to the venue alongside their enquiry, or skip it. Viewing times come from Settings → Business profile. If they book one, they get a confirmation email and the lead is marked Viewing booked.
Contact details
Name, email and phone. You can make the phone number optional. You can also show a marketing opt-in tickbox with your own wording; it's never pre-ticked and the guest doesn't have to tick it to send the form. Where the guest came from (for example a Google ad or a newsletter link) is recorded with the lead.
When the guest sends the form:
- A lead and a quote are created in your dashboard.
- The enquiry is sent to every connection you've set up.
- The guest sees "Your proposal is ready" with a button to open it.
The running total
A running total sits at the bottom of every step. It includes everything chosen so far, your pricing plan and VAT. Guests see the price without having to commit, which is the point.
The booking form never takes payment. Deposits are paid on the proposal page, once the guest has had time to think. Nobody is asked for a card mid-enquiry.
