Core concepts

Operator, guest, lead, quote, proposal, embed, destination — the words we use and what they mean.

The words that come up across the dashboard, these help pages and our support replies. Read this once, then come back when something doesn't make sense.

Operator

You. The venue, caterer or planner with an Innkept account. The booking form sits on your website and leads go to your CRM. We never market your venue to anyone. Innkept is a tool for your business, not a directory.

Guest

Your customer. The person filling in your booking form. They don't need an account, just the link to their proposal.

Booking form (the widget)

The steps your guest goes through on your website: date, event type, guest numbers, menu and so on. You choose the steps on the Widget page. It looks the same whatever your website is built with. See the booking form, step by step.

Lead

A possible booking, created the moment a guest sends the form. It holds their contact details, their event details and a status, which moves through new, contacted, viewing booked, quoted, won (or lost).

Quote

What the guest chose, priced: every line, VAT and the total. If a guest asks to change their date or numbers and you approve it, you get a new version of the quote. See Anatomy of a quote.

Proposal page

The guest's view of their quote, on a private link. No account needed. Guests can switch optional extras on and off, comment, ask for a change, sign your contract and pay a deposit, depending on what you've switched on. It carries your venue's logo and colour.

Your Innkept code

The short piece of code you paste on your website to show the booking form. See Adding Innkept to your website.

Connection

Anywhere a lead is sent: HubSpot, Pipedrive, Salesforce, Airtable, Mailchimp, Zapier, a webhook or an email address. Every active connection gets every new lead.

Pricing plan

Your venue hire prices for a stretch of dates, for some or all of your venues and event types. Inside a plan you set a base price, then add seasons, weekday and weekend prices, key dates and so on. If two plans cover the same event, the one with the higher priority wins. See Pricing plans.

How a price is charged

Each product or dish is charged as a flat fee, per guest, per hour or per day. Per-guest prices are multiplied by the guest's numbers.

Publishable key

The pk_live_… part of your Innkept code. It's meant to be seen on your website, so it isn't a secret. To stop other sites using it, list your own domains. See Allowed domains.

Proposal link

Each proposal has its own long, random link, so nobody can guess it. Anyone with the link can open the proposal, so don't post it publicly. You can also share a comment-only or read-only link from the quote page.
