Products are the things you charge for: venue hire, staff, bar packages, AV, decor, late licences, cake-cutting fees. Anything you'd put on an invoice as its own line.
How a product is charged
Every product has a price and a Charged setting.
| Charged | How it's worked out | Good for |
|---|---|---|
| Flat fee | The price, once | Venue hire, late licence, cake-cutting fee. |
| Per guest | Price × the guest's numbers | Front-of-house staff, drinks packages. |
| Per hour | Price × hours | Staff overtime, equipment by the hour. |
| Per day | Price × days | Multi-day equipment hire, marquees. |
Guests don't choose the number of hours or days on the booking form, so a per-hour or per-day product starts at one. Agree the final number with the guest.
Adding a product
Open Products and click New product. You'll fill in:
- Category: Venue hire, Staff, Catering, Bar, Decor, AV or Add-on. Products are grouped by category.
- Location: leave it on all venues, or pick one.
- Name and description: what guests see.
- Photo: optional.
- Price (£) and Charged: see the table above.
- VAT %: 20 unless you set otherwise. Use 0 for items with no VAT.
- Pre-selected in widget: starts ticked on the booking form. Use it sparingly.
- Active: untick to hide a product without deleting it.
- Allow comments on the proposal: lets guests leave a note on this line.
Venue hire is different
Products in the Venue hire category aren't offered as add-ons. They go on the quote as a single "Venue hire" line. If you have a pricing plan for that date, the plan's venue hire price is used instead. Use this category for your hire fee, and the others for everything else.
