Every quote has its own proposal page on a private link. The link is long and random, so nobody can guess it, and the guest opens it straight away without creating an account.
What the guest sees
- Your venue's name, logo and photo.
- Their event type, date and guest numbers.
- Every line, with switches on the optional ones.
- Subtotal, VAT and total, clearly set out.
- A place to comment, on the whole proposal or on a single line.
- A Request a change button for a new date or guest numbers.
- Your contract to sign and a deposit to pay, if you've set them up.
- A share button.
Depending on your settings, guests can also add dietary needs, build a guest list and plan the seating from the same page.
Why there's no login
The link itself gives access, so guests don't need an account or a password. That's on purpose: a proposal is something people want to send to their partner, show their parents or forward to the office. Every extra step loses you guests.
Knowing when it's been opened
The first time the guest opens their proposal, the quote changes from Sent to Viewed in your dashboard.
Sharing the link
Open the quote in your dashboard. Under Shareable links there are three, each with a copy button:
- Edit: the guest's full link. They can switch items, comment, request changes, sign and pay.
- Comment: for someone who should be able to comment but not change anything.
- Read-only: to look, nothing else.
Paste them into an email, WhatsApp or your CRM. The guest's link is also sent to your CRM and included in your new-lead email.
If the link is passed on
Anyone the guest forwards the link to can see the proposal, just as if they'd forwarded a PDF quote. They can't see anything about your other guests. If you only want someone to look, send them the read-only link instead. Proposal links stop working 30 days after the quote was made, unless the guest has signed or paid.
Proposals on your own web address
We can show proposals on your own address, such as book.fettlewoodbarn.co.uk,
instead of innkept.co.uk. Contact us to set it up. You'll
need to add one setting with whoever looks after your domain, and we handle the rest.
What guests never see
Your internal notes on a lead are private to your team. Comments on the proposal are seen by both sides, so write them as you would an email to the guest.
